Student Accounts

Manage your student financial matters

Use the published guidance for account statements, payments, banking information and related student finance processes.

Students are responsible for regularly monitoring their student accounts and verifying that all charges, payments, sponsorships and other transactions have been recorded correctly.

Student accounts must be accessed through MyAccess.

Monthly statements are sent to each student’s official University of Venda student email address. Students are encouraged to review their statements carefully and report any queries through the appropriate Student Finance support channel.

Acknowledgement of Debt

An Acknowledgement of Debt, also referred to as an AOD, is a formal agreement through which a student acknowledges outstanding fees and agrees to settle the debt through approved instalments.

An AOD may apply to:

  • Self-funded returning students with historical debt.
  • Students who do not have confirmed funding for the current academic year.

An AOD does not automatically guarantee registration. The payment arrangement must first be assessed and approved by the University.

AOD Application Process

Students who wish to apply for an Acknowledgement of Debt must follow the prescribed application process.

Please note:

  • Applications must be submitted through MyAccess.
  • All required supporting documents are compulsory.
  • A debit-order or stop-order commitment is required.
  • No AOD application will be processed without an approved payment arrangement.

Student Debt and Account Blocking

A student account may be blocked due to:

  • Outstanding fees.
  • Lack of confirmed sponsorship.
  • The account having been handed over to debt collectors.

Students with blocked accounts should resolve the outstanding financial matter before attempting to register or request services that require financial clearance.

Handed-Over Accounts

Student accounts that have remained outstanding for three years or longer may be handed over to an appointed debt-collection agency.

Please note:

  • Handed-over accounts must be settled in full before registration.
  • Payment arrangements for handed-over accounts must be made directly with the appointed collection agency.
  • The University cannot process a payment arrangement on behalf of the collection agency once the account has been handed over.

Cancellations and Refunds

The refund amount applicable to a cancellation depends on when the cancellation is submitted.

Cancellation period Refund
Within 60 days 100%
Between 60 and 90 days 50%
After 90 days No refund

Students should ensure that cancellation requests are submitted within the applicable period.

Refund Applications

Refund applications must be submitted online through MyAccess.

Please note:

  • Submitting a refund application does not guarantee approval.
  • All refund applications are subject to review.
  • Approved refunds are processed twice monthly, on the 15th and 30th.
  • Students should ensure that the information and supporting documents submitted with the application are accurate and complete.
